Are you an organised, proactive individual with a passion for keeping operations running smoothly? A dynamic depot is seeking a skilled Office Administrator to provide essential administrative support across contractual, operational, and general office functions. This is a varied and rewarding role for someone who thrives in a fast-paced environment and enjoys being at the heart of a busy team.
Key Responsibilities:
- Answer and direct incoming calls professionally
- Prepare, collate, and electronically file office and works documentation
- Manage Opportunities and Quotations using aCloud software
- Support the operations team with tracking and chasing project updates
- Assist in preparing cost breakdowns for managerial approval
- Transfer accepted quotations to Focal Point and generate Job Packs
- Coordinate pre-work documentation and maintain accurate records
- Process invoices and update internal sales spreadsheets
- Create and manage Purchase Orders for subcontractors and suppliers
- Liaise with clients to resolve outstanding payment queries
- Ensure timely submission of employee timesheets
- Maintain office supplies and stationery stock
- Book accommodation and travel using online portals
- Keep training records up to date and assist with course bookings
- Support asset and vehicle servicing schedules via GMEE system
- Handle daily outgoing post and provide office cover when needed
- Maintain confidentiality and complete ad-hoc administrative tasks
What We’re Looking For:
- Previous experience in a busy office environment, ideally within a similar industry
- Excellent communication skills, both written and verbal
- Strong IT proficiency, especially with Microsoft Office and database systems
- High attention to detail and a methodical, accurate approach
- Ability to work independently and manage multiple tasks
- Self-motivated, flexible, and eager to learn and grow
Additional Information:
- Occasional travel may be required
- A clean driving licence is preferred
- Must have the right to work in the UK
